Administrative Coordinator for Associates & Retirees

The Associate Program and Retirees Administrative Coordinator will develop/refine and manage the administrative processes of matching Associates to service opportunities and coordinating their onboarding and ongoing engagement with the mission. The Administrative Coordinator will also provide administrative care for Retirees and connect Active Retirees to service opportunities.

Responsibilities and Duties:

For Associates

  • Regularly update and maintain a thorough database of all Associates, including their skills/credentials, interests, availability, and contact information. 
  • Work with Mobilization to track potential service opportunities for Associates.
  • Collaborate with Mobilization in connecting current Associates, as well as existing Members who are ending service and transitioning to Associate status, with relevant service opportunities and following through with placement details such as coordinating placement interviews, communicating assignment details, etc.
  • Think creatively to develop new methods for connecting Associates with opportunities. 
  • Make recommendations to pertinent departments on how to place Associates in advisory, short-term projects, and administrative support roles.
  • Develop and manage the onboarding process for Associates.
  • Provide administrative care to Associates:
    • Maintain Associate records.
    • Track completion of requirements, including processing “paperwork.”
    • Receive and respond to any administrative questions from or related to Associates.
  • Facilitate Associates with foreign assignments
  • Communicate with Associates before, during and after assignments
  • Inform Operations Services staff of relevant information related to an Associate’s service.
  • Develop and manage an off-boarding process for Associates who want to end their associate service/status.
  • Collaborate with service department staff to trouble-shoot Associate issues, and identify areas for updating Associate materials and improving processes.
  • Promote internal resources to Associates for their professional development (such as Leadership Development Network, School Services, TeachBeyond conferences, etc.).
  • Assist the organization with broadening the network of its Associate pool.

For Retirees

  • In as far as Active Retirees serve in a similar capacity to Associates, the above responsibilities outlined for coordinating Associates also apply to coordinating Active Retirees 
  • Connect with Retirees at End of Service to learn their situation and interests
  • Check in with Retirees on an annual basis
  • Establish and maintain a database of all Retirees, including their desired work status (active/inactive) and pay status (stipend or not stipend), contact information
  • Act as a liaison between retirees and any departments who need to be informed of changes (for example, Donor Services, Finance, Member Care)

Education, Experience, and Skills Desired:

  • Bachelor’s degree preferred with administrative giftings.
  • Familiarity with missionary life and expectations.
  • Familiarity with TeachBeyond and its projects is helpful.
  • Preference for overseas missionary service with first-hand experience living cross culturally.

This opportunity is a remote and support based role; full or part-time. Pay is based on the applicant's own ability to raise funds for their salary; paid via donor or self-support.
